Privacy Policy

Apex Organizations, LLC (“Apex Organizations,” “we,” “us,” or “our”) is an independent insurance brokerage. We understand that the information you share with us is personal and sensitive. This Privacy Policy explains what information we collect, how we use and protect it, and the choices you have. It applies to our website, our client and applicant relationships, and the services we provide as a licensed insurance producer.

1. Information We Collect

The categories of information we collect depend on how you interact with us. They may include:

Information you provide directly

  • Identifiers and contact details — name, date of birth, mailing and email address, and telephone number.
  • Application and underwriting information — information needed to quote and place coverage, which may include your Social Security number, government identification, household and dependent information, beneficiary details, employment and income, and financial circumstances.
  • Health information — medical history, prescriptions, tobacco use, and similar health details that carriers require to underwrite life, health, and supplemental coverage.
  • Communications — the contents of forms you submit, emails, and notes from consultations or phone calls.

Information collected automatically

  • Device and usage data — IP address, browser and device type, pages viewed, referring pages, and dates and times of access.

Information from third parties

  • Insurance carriers, underwriters, and consumer- or insurance-reporting agencies who provide information used to evaluate applications.
  • Referral partners and people who refer you to us, and publicly available sources.

2. How We Use Your Information

We use the information we collect to:

  • Respond to your inquiries and schedule consultations;
  • Prepare quotes and recommend suitable coverage across our carrier panel;
  • Submit applications and facilitate underwriting, placement, and delivery of policies;
  • Service policies and act as broker of record for the life of a policy;
  • Operate, maintain, secure, and improve our website and services, and conduct analytics;
  • Communicate with you about your application, policy, or our services, and—where permitted—about relevant products;
  • Comply with applicable laws, regulations, licensing obligations, and lawful requests, and to detect and prevent fraud.

3. How We Share Your Information

We share personal information only as needed to provide our services and as permitted or required by law. We may disclose information to:

  • Insurance carriers and underwriters — to obtain quotes, submit applications, and place and service coverage;
  • Service providers — vendors who support our operations (for example, hosting, customer-relationship management, scheduling, e-signature, and communications), who are permitted to use the information only to perform services for us;
  • Legal, regulatory, and safety purposes — to comply with law, a subpoena, or government request, to enforce our agreements, and to protect the rights, property, or safety of Apex Organizations, our clients, or others;
  • Business transfers — in connection with a merger, acquisition, financing, or sale of assets, subject to this Policy;
  • With your consent or at your direction.

We do not sell your personal information, and we do not share it for cross-context behavioral advertising.

4. Financial Privacy (GLBA)

As an insurance brokerage, the nonpublic personal information you provide is protected by the Gramm-Leach-Bliley Act and applicable state insurance privacy regulations. We restrict access to your nonpublic personal information to those who need it to provide products or services to you, and we maintain physical, electronic, and procedural safeguards designed to protect that information. We do not disclose your nonpublic personal information to nonaffiliated third parties except as permitted by law or as described in this Policy.

5. Cookies & Tracking Technologies

We and our service providers use cookies and similar technologies to operate the website, remember your preferences, and understand how the site is used. You can control cookies through your browser settings; disabling some cookies may affect site functionality. Where required by law, we will request your consent before placing non-essential cookies.

6. Data Security

We maintain administrative, technical, and physical safeguards intended to protect personal information against unauthorized access, use, alteration, or disclosure. No method of transmission or storage is completely secure, however, and we cannot guarantee absolute security. Please use care when sending sensitive information to us and avoid including it in unencrypted email.

7. Data Retention

We retain personal information for as long as needed to provide our services, maintain your policy records, and satisfy our legal, regulatory, tax, accounting, and recordkeeping obligations. When information is no longer required, we take reasonable steps to delete or de-identify it.

8. Your Privacy Rights & Choices

Depending on where you live, you may have rights to request access to, correction of, or deletion of your personal information, to obtain a copy of it, and to opt out of certain processing. To exercise a right, contact us using the details below; we will respond as required by applicable law and may need to verify your identity before acting on a request.

  • Marketing communications. You can opt out of marketing emails by using the unsubscribe link or by contacting us. We may still send you service-related messages about your application or policy.
  • State privacy rights. Residents of California and other states with comprehensive privacy laws may have additional rights, including the right not to be discriminated against for exercising them. Because we do not sell or share personal information for cross-context behavioral advertising, no opt-out of those activities is necessary.
  • Do Not Track. Our site does not currently respond to browser “Do Not Track” signals.

9. Third-Party Websites

Our website and communications may link to carrier and partner websites that we do not control. This Policy does not apply to those sites, and we encourage you to review their privacy practices.

10. Children’s Privacy

Our website and services are intended for adults and are not directed to children under 18. We do not knowingly collect personal information from children. If you believe a child has provided us information, please contact us so we can delete it.

11. Changes to This Policy

We may update this Privacy Policy from time to time. When we do, we will revise the “Effective” date above and, where appropriate, provide additional notice. Your continued use of our website or services after an update constitutes acceptance of the revised Policy.
